• Kyros AI LLC operates kyroshq.com and provides Neo, an AI employee deployed on client websites. This Privacy Policy explains how we collect, use, share, and protect information through the Website and Services.
• By using the Website or Services, you acknowledge this Privacy Policy.

• For kyroshq.com visitors and Client account data, Kyros is the controller of personal information.
• For Lead Data collected from Visitors through Neo on a Client website, Kyros acts as a service provider or processor on that Client’s behalf. The Client is the controller or business for that Lead Data.
• End Users who want to exercise privacy rights over Lead Data should contact the relevant Client business. Kyros assists the Client as required.

• From website visitors: contact or demo-request details such as name, email, business, message, and anything submitted through Neo on kyroshq.com.
• From End Users of Neo on Client sites: name, email, phone, question or interest, conversation content, and booking details when scheduling.
• From Clients: business details, account or login information, billing contact information, and knowledge-base content provided to configure Neo.
• Automatically: device and usage data, IP address, and cookie data through the Website and Neo widget.
• From public sources: publicly listed business contact information used for business-to-business outreach.

• To provide and operate the Services, including running Neo, capturing and routing leads, delivering booking links, sending alerts and confirmations, requesting reviews after bookings, and generating reports.
• To communicate with Clients, respond to inquiries, handle billing, and manage accounts.
• To improve and secure the Services, conduct business-to-business marketing with opt-out options, comply with law, and protect rights.

• Conversations with Neo are processed by automated AI systems to generate responses and summaries, and may be logged and stored.
• Users should not share sensitive personal, health, financial, or other highly confidential information with Neo.

• When SMS is used, it is for lead alerts to Clients and, where applicable, booking or review messages to End Users who have consented.
• Message frequency varies. Message and data rates may apply. Reply STOP to opt out and HELP for help.
• Consent to receive texts is not a condition of purchase.
• Kyros does not sell or share mobile opt-in data or consent with third parties for their own marketing.

• We use essential site cookies, basic analytics, and the Neo widget to operate and improve the Website and Services.
• Users can control cookies through browser settings. Some features may not work correctly if cookies are disabled.
• Kyros does not currently respond to Do Not Track browser signals.

• Service providers that power the Services, described by function only, including hosting and infrastructure, communications and messaging, payment processing, scheduling, and AI or CRM operations. These providers are used only to deliver the Services.
• The relevant Client receives Lead Data captured on that Client’s site.
• We may disclose information when required by law, to protect safety or rights, or as part of a business transfer such as a merger or acquisition.
• We do not sell personal data.

• We keep information as long as needed to provide the Services, meet legal obligations, resolve disputes, and protect our rights.
• Lead Data is retained according to the Client relationship and is deleted or de-identified when no longer needed.

• Kyros uses reasonable administrative and technical safeguards to protect information.
• No method of transmission or storage is 100% secure, and Kyros cannot guarantee absolute security.

• Residents of states with privacy laws, and as a practice all users where reasonably possible, may request to confirm or access data, correct data, delete data, obtain a copy, and opt out of targeted advertising, sale, or profiling.
• Kyros does not sell personal data or use it for targeted advertising or profiling in those senses.
• To exercise rights, contact hello@kyroshq.com. We may verify your identity before responding. We aim to respond within the required window, generally 45 days where applicable, with extensions when allowed by law.
• If a request is denied, you may appeal by contacting hello@kyroshq.com with “Privacy Appeal” in the subject line. Indiana residents may also contact the Indiana Attorney General. Kyros will not discriminate against users for exercising privacy rights.
• For Lead Data collected on a Client website, End Users should direct requests to the relevant Client business because the Client is the controller.

• Kyros does not intend to collect sensitive data, such as health information, precise geolocation, or similar categories, through Neo, and asks users not to submit it.
• Kyros is not a HIPAA business associate and does not act as one. Clients must not route protected health information through Neo. Clients in health-adjacent fields, such as med spas, are responsible for their own regulatory obligations.

The Website and Services are not directed to children under 18. Kyros does not knowingly collect children’s data and will delete it if discovered.

The Website and Client sites may link to third-party websites or services that Kyros does not control. Their policies govern their practices.

Kyros may update this Privacy Policy. Changes will be posted with a new effective date, and continued use means acceptance.
