Illustrative conversations

AI receptionist examples, with the handoff made clear.

A helpful call tells the customer what is known, collects what your team needs, and leaves the outcome clear.

01 / A new request

Collect a callback without promising an appointment.

An accounting-office prospect wants a conversation. The useful outcome is a request your team can review, with an explicit distinction between a preferred time and a confirmed booking.

Illustrative script — not an actual call
  1. CallerCould I speak to your accounting team about working together?
  2. ReceptionistI can take that request for the team. May I have your name, business name and the best callback number?
  3. CallerI need help with bookkeeping for a small shop. Friday afternoon would be best.
  4. ReceptionistI’ll include that preference. The team will need to confirm a conversation with you; it is not booked yet.

Handoff: a new-business inquiry, business name, contact details and preferred callback time. The office confirms the next step; no accounting advice or appointment is promised.

02 / An answer outside the rules

A useful response can include “I don’t have that price.”

Approve the information your receptionist may share. A business-specific price needs a source; guessing creates a commitment your team did not make.

Illustrative script — not an actual call
  1. CallerHow much will it cost to replace my car’s brakes?
  2. ReceptionistI don’t have an approved price for that job. I can collect the details so the team can explain the estimate process.
  3. CallerIt’s a hatchback. I can bring it in next week.
  4. ReceptionistI’ll include that. What number should the team use to reach you?

Handoff: a brake-work price inquiry, vehicle description, preferred week and callback. The repair shop confirms the inspection, estimate and availability.

03 / A person is needed

Capture the details before a transfer.

Use a transfer destination only when it is configured and appropriate. Check that line’s voicemail and your team’s follow-up process before relying on it.

Illustrative script — not an actual call
  1. CallerI need to speak with someone about changing my salon appointment.
  2. ReceptionistI can try the team. First, may I take your name, callback number and a short message about the appointment?
  3. CallerPlease ask the salon to call me about moving my appointment to Saturday.
  4. ReceptionistI’ve noted the request. I’ll try the transfer number now.

Sample team summary: Existing salon client requests a change to Saturday; callback needed. No new appointment time confirmed.

If no one picks up: follow the destination line’s configured voicemail and your team’s follow-up process. Check that path in your own setup; do not assume the transfer returns to the AI.

Write your version

Use your real rules and your real availability.

These examples show a call-handling approach, not guaranteed word-for-word behavior. Configure your greeting, approved answers, intake questions and human handoff, then check the result with your own setup.

Kyros’s current public offer is English call handling. If you need automatic calendar booking or another integration, ask us to confirm the exact workflow first.
