When your team is off the phone

After-hours answering with a clear next step.

Give callers your approved answers, collect their request, and make the follow-up clear. Kyros handles the forwarded call; your team decides what happens next.

Choose the route

Decide when the call should reach Kyros.

Your carrier or business phone system controls the forwarding options available on your line. Scheduled routing is a provider capability to confirm, not something every number supports.

After your closing time

If your phone system supports schedules, route calls to Kyros outside your team’s working hours. Check the timezone, weekends and holiday exceptions.

When no one answers

Where conditional forwarding is available, let your team ring first. Confirm the ring delay and what happens when a line is busy, offline or declined.

All incoming calls

Forward your line when you want Kyros to answer first. Understand how this changes ringing and voicemail, and keep the provider’s steps for restoring your previous route.

Before the first evening

Make four decisions with your team.

A collected request is useful when someone knows who owns it and when it will be reviewed.

  1. What may be answered?

Approve current hours, service-area details, prices you actually publish and the questions that need a person.

  2. What can the caller expect?

Set a callback expectation your team can meet. Collect preferred times without promising availability or confirming an appointment.

  3. Who receives the handoff?

Choose who checks the portal and call emails. Agree a backup for days when that person is away.

  4. Which calls may transfer?

Confirm the destination, the hours someone can answer it and the fallback if they cannot. Do not send routine calls to an off-duty employee by accident.

The following morning

Turn the message into a completed follow-up.

What the call can collect

A name, callback number, reason for calling and preferred time to speak. Kyros answers from the information you approve and summarizes calls for your team.

What your team confirms

Availability, a final quote, an appointment or a change to an existing job. If automatic booking is essential, ask us to confirm your exact calendar and workflow before relying on it.

Keep a simple review routine. Check the calls, assign each request to a person, make the callback and record the outcome in your own workflow. Call collection alone is not a completed booking or a sale.
